About Nana Bambi's Place

Nana Bambi's Place is a vertically integrated farm-to-table operation based in Ragay, Camarines Sur. The business operates across twelve spokes — covering everything from livestock and poultry to a panaderia, marine and seafood, a cafe, market, feeds and supply, deliveries, regen gardening, nursery, soil and compost, slow food and training, and a market butcher.

The Feeds and Supply spoke is the physical engine of the enterprise. Every bag of feed, every delivery, every supplier relationship, and every truck movement flows through this spoke. It is the largest volume operation in the business and the one that touches every other spoke daily.

Position Overview

The Logistics Coordinator is the office arm of the feeds and supply operation. This role manages the flow of information — scheduling truck runs, making and receiving calls, real-time data entry, preparing manifests, and confirming payments. It is a phone and keyboard role. The coordinator ensures that every goods movement is recorded, every driver is briefed, every payment is confirmed, and every discrepancy is flagged.

REPORTS TO JIM

The Logistics Coordinator works under the direct direction of the Feeds and Supply Manager (Kuya Jim). Jim sets the priorities, decides routes, approves loads, and directs operations. The coordinator executes — scheduling, recording, calling, and reporting as directed by Jim.

Key Responsibilities

1. Scheduling and Dispatch Coordination

  • Prepare and maintain the daily truck schedule under Jim’s direction
  • Confirm all runs 24 hours in advance with drivers and recipients
  • Update the schedule in real time as conditions change
  • Coordinate return loads to avoid empty runs
  • Maintain a written schedule accessible to Jim at all times

2. Inbound and Outbound Calls

  • Take and make all logistics-related calls — suppliers, farmers, drivers, customers
  • Record every call: who, what, when, and outcome
  • Follow up on unconfirmed deliveries until resolved
  • Maintain a professional and prompt communication standard at all times

3. Real-Time Data Entry

  • Every goods movement entered in real time — not end of day
  • Record all inbound receipts, outbound dispatches, milling, stock transfers, and fuel
  • Flag discrepancies to Jim immediately upon discovery

4. Manifests and Documentation

  • Prepare outbound manifests before every dispatch
  • File inbound manifests upon receipt
  • Maintain a manifest register with complete records
  • Report any discrepancies between manifest and actual goods
  • Prepare DA and LGU regulatory documents as required

5. Payment Confirmation — GCash and Bank Transfer

  • Confirm all payments before goods are released — no cash, no exceptions
  • Record transaction references for every payment received
  • Communicate any discrepancies to Jim and Grace immediately
  • Complete end-of-day payment reconciliation

6. Supplier and Driver Communication

  • Maintain up-to-date contact lists for all suppliers and drivers
  • Maintain a driver roster with availability and vehicle assignments
  • Call drivers for briefing before every run
  • Follow up during long runs to confirm progress and ETA
  • Build and maintain professional supplier relationships

7. Reporting to Grace

  • Prepare and submit an end-of-day summary covering all movements, payments, and fuel
  • Respond to data queries from Grace promptly and accurately
  • Flag any invoice or payment discrepancies on the same day they are identified

What We Are Looking For

Preferred

  • Experience in logistics, dispatch, or supply chain operations
  • Familiarity with GCash business transactions
  • Experience with inventory or warehouse management systems
  • Knowledge of the Bicol road network
  • Fresh graduate in Business Administration, Logistics, or related field
