About This Role

Grace is the financial backbone of day-to-day operations at Nana Bambi's. This role handles transaction recording, reconciliation, payroll, stock and asset tracking, and financial reporting across all twelve spokes of the business.

Grace is NOT the tax specialist — that role belongs to the agricultural tax accountant retained on a specialist basis. Grace keeps the books clean, accurate, and up to date so that the specialist always has correct data to work with.

WORKING RELATIONSHIP: Grace works closely with the agricultural tax accountant. Grace maintains the day-to-day financial records; the tax accountant handles BIR filings, tax strategy, and compliance review. Both roles are essential and complementary.

Key Responsibilities

1. Daily Transaction Recording

  • Record all transactions from the Loyverse POS system — same-day entries required
  • Process inter-spoke Loyverse loyalty card cashless transfers
  • Match GCash and bank transactions to POS records
  • Perform daily cash reconciliation across all active spokes
  • Record driver payments — GCash or bank transfer only (no cash)

2. Payroll

  • Process SSS, PhilHealth, and Pag-IBIG contributions and remittances
  • Prepare and file BIR Form 1601C monthly
  • Prepare BIR Form 2316 year-end for all employees
  • Calculate and disburse 13th month pay

3. Accounts Payable / Receivable

  • Process and track supplier invoices across all spokes
  • Manage expanded withholding tax on applicable payments
  • Track receivables and follow up on outstanding balances

4. Asset Register

  • Maintain asset register covering all asset classes
  • Track fleet vehicles using codes FL-001 through FL-010
  • Conduct bi-annual asset review in June and December
  • Apply 20-year depreciation schedule to manager's residence

5. Inventory and Stock

  • Track inventory for feeds and supply, market, and bakery spokes
  • Use DEPT-CAT-SEQ item codes consistently across all records
  • Maintain stock type column to distinguish categories

6. Financial Reporting

  • Deliver monthly Profit & Loss statement by the 10th of each month
  • Prepare cash flow reports
  • Generate spoke-by-spoke revenue breakdowns
  • Track and report fleet costs separately
  • Compile quarterly financial report for the agricultural tax accountant

7. BIR Compliance Support

  • Maintain books of accounts in proper order
  • Manage official receipts and sales invoices
  • Maintain BIR compliance calendar
  • Provide 2 weeks advance notice on all upcoming deadlines

8. Credit and Ecosystem Value Management

  • Apply 15–20% above cash credit pricing policy
  • Track loyalty card balances across the ecosystem
  • Perform inter-spoke reconciliation for cashless transfers

  • Excel — 8+ tab master workbook for all financial records
  • GCash / Bank Records — digital payment matching
  • BIR eFPS / eBIRForms — tax filing platforms
  • Physical Ledgers — backup and verification

What We Are Looking For

Essential

  • BSc Accountancy
  • Minimum 2 years bookkeeping experience
  • Working knowledge of BIR compliance requirements
  • Excel proficiency (formulas, pivot tables, multi-tab workbooks)
  • Reliable and meticulous — accuracy is non-negotiable
  • Comfortable with digital payment systems (GCash, bank transfers)
  • Discreet and trustworthy with financial information

Preferred

  • CPA license
  • Loyverse POS experience
  • Background in agricultural or food service accounting
  • Experience with multi-revenue-stream businesses
  • Local to Ragay or surrounding area

What This Role Becomes

Within 12–18 months, this position grows into the senior internal financial role at Nana Bambi's. As the business scales across all twelve spokes, Grace becomes the central figure in financial operations, with direct oversight of all bookkeeping, reporting, and internal controls.
