FARMER TRADE & CIRCULAR ECONOMY

1. THE MODEL — Why This Works

"We don't compete with farmers — we serve them. The farmer's waste becomes our raw material. Our finished product becomes their feed at a price below commercial."

The Circular Economy Cycle

FARMER
Local growers & smallholders along the corridor
Brings raw ingredients:
Corn, Copra, Rice Bran,
Cassava, Greens, Napier
NANA BAMBI'S MILL
Processes, mixes, formulates into finished feed
Farmer receives in return:
Discounted Feed
Store Credit
Livestock
Produce Exchange
↑ cycle repeats ↑

The farmer keeps producing. We keep milling. Both sides benefit. The farmer gets feed cheaper than commercial (because they supplied the ingredients). We get raw materials at farmgate price without middlemen. The money stays in the community.

The Corridor Model

Ragay — Sipocot — Daet — Tagkawayan Ring Road

Farmers along this corridor participate in the trade network. Our delivery trucks collect raw ingredients on southbound runs and deliver finished feed on northbound runs. Trucks never run empty. This halves our effective logistics cost and means we can reach farmers that commercial feed companies ignore.

2. TRADE TYPES — How Farmers Can Trade

Four ways a farmer can trade with Nana Bambi's. Every trade is recorded, receipted, and valued at fair market prices.

Trade TypeHow It WorksExample
Raw for Feed Farmer brings raw corn/copra → receives equivalent value in finished feed (minus processing margin) Bring 100kg corn (∂23/kg = ∂2,300 value) → receive finished feed at cost price
Raw for Store Credit Farmer brings raw ingredients → receives store credit redeemable at Nana Bambi's Market, Alejandro's Cafe, or any spoke Bring 50kg copra meal → ∂850 store credit
Raw for Livestock Farmer supplies feed ingredients over time → builds credit toward livestock purchase (goat kids, piglets, chicks) 6 months corn supply → 2 goat kids at discounted price
Raw for Produce Farmer brings one thing, takes another → barter exchange at agreed rates Bring corn → take vegetables, or bring Napier grass → take feed
All trade values are based on current published farmgate prices (PSA/DA baseline). Both parties see the same price list. Transparency builds trust.

3. PRICING TIERS — What We Pay and What We Charge

Volume TierBuy Price (We Pay Farmer)Sell Price (Farmer Pays for Feed)Notes
Retail
Under 500kg/month
Market rate per kg Retail price (see costing sheet) Walk-in farmers, smallholders
Half-Tonne
500kg – 999kg/month
Market rate 5% discount off retail Regular suppliers, medium farms
Full Tonne
1,000kg+/month
Market rate 10% discount off retail Large farms, contract growers
"Market rate" = current local farmgate price as published by PSA or DA regional office. We pay what the market pays — never below. Farmers must never feel cheated. If a farmer can get a better price elsewhere, we match it or let them sell there. No hard feelings.

4. INGREDIENT ACCEPTANCE STANDARDS

Every inbound ingredient must meet these minimum standards before acceptance. Staff must inspect on arrival.

IngredientWhat We AcceptReject IfHow We Test
Yellow Corn Whole dried kernels, cracked corn Moisture >14%, visible mould, weevils, mixed with stones Visual + moisture meter
Rice Bran D1 (Darak) Fresh, dry, no rancid smell Rancid/sour smell, damp, clumped, more than 7 days old Smell test + visual
Copra Meal Dry, light colour, no mould Dark/black, wet, sour smell, aflatoxin risk Visual + smell
Ipil-ipil Leaves Dried, green colour retained Brown/black, wet, mouldy Visual
Malunggay Leaves Dried, green, aromatic Brown, wet, musty Visual + smell
Fish Meal / Scraps Dried, firm, no maggots Wet, maggots, extreme smell, not properly dried Visual + smell
Banana Culls Overripe OK, no rot Active rot, fermented liquid, insect infestation Visual
Napier Grass Fresh cut, green Dry/yellow (unless for hay), diseased Visual
If in doubt, REJECT. Bad ingredients ruin the entire batch. One mouldy sack of copra meal can contaminate 500kg of finished feed. It is always cheaper to reject than to lose a batch.

5. HOW A TRADE IS RECORDED

Step-by-Step Process

Farmer arrives with raw ingredients
Weigh on platform scales — record weight in kg (farmer watches the scale)
Inspect quality against acceptance standards above
If accepted: record in Inbound Register — Date, Farmer Name, Barangay, Ingredient, Weight (kg), Quality Grade (A/B/C), Market Price/kg, Total Value
Farmer chooses trade type: Feed, Store Credit, Livestock Credit, or Produce Exchange
Issue receipt/credit slip (DUPLICATE — one for farmer, one for us)
If Feed Exchange: calculate feed value at farmer's pricing tier, issue feed immediately or schedule pickup
If Store Credit: enter credit in POS under farmer's account
End of week: reconcile all trade slips against inbound register and stock movements

6. LEGAL CONSIDERATIONS (Philippines)

AreaRequirement
BIR Treatment Barter transactions are still taxable events. Both parties must declare the fair market value of what they received. Issue a sales invoice for feed sold, even if payment is in kind (raw ingredients).
VAT Implications If gross annual sales exceed ₱3M, VAT (12%) applies to the fair market value of goods exchanged. Under ₱3M: percentage tax (3%) applies instead.
Documentation Keep ALL trade slips, receipts, and inbound registers. BIR may audit barter transactions. Retain records for 10 years minimum.
Official Receipts Issue official receipts (OR) for all transactions, including barter. Record fair market value in PHP on every receipt.
Farmer Protection Never undervalue farmer ingredients. Use published farmgate prices (PSA/DA) as baseline. If our price is below published farmgate, the farmer will know and trust is broken forever.
When in doubt, pay cash and sell feed separately. Barter saves both parties money but ONLY if properly documented. If the paperwork feels too complex for a particular farmer, just buy their ingredients for cash and sell them feed at their tier price. Same economic result, simpler paperwork.
